Role Summary
We are looking for a CA or CS with experience in the fund management industry (preferably PMS or AIF) to lead operational execution across the firm. This role owns the quality, accuracy, and timeliness of execution across operations, accounts, compliance, and reporting, ensuring the firm’s execution engine runs flawlessly.
The ideal candidate is detail-obsessed, understands (or is quick to learn) how a trade flows from execution to settlement to reporting, is comfortable manually verifying numbers across multiple reports, and can connect the dots between accounting, compliance, and operations — spotting where something doesn’t add up and fixing it, not just flagging it.
Key Responsibilities
1. Operations Ownership & Execution
● Own flawless day-to-day execution of fund operations — trade capture, settlement, reconciliation, and allocation-related processes.
● Supervise and coordinate between the accounts, compliance, and operations teams.
● Build and maintain checklists, SOPs, and calendars for all recurring operational and regulatory tasks.
● Act as the single point of accountability for operational accuracy — take ownership of results, not just process.
● Identify bottlenecks or breakdowns in workflow and fix the process, not just the immediate issue.
● Understand (or proactively learn) the full trade lifecycle — order placement, execution, settlement, custody, and its downstream impact on accounting and reporting.
2. Reconciliation & Verification
● Manually cross-verify data across custodian statements, fund accountant reports, RTA records, bank statements, and internal MIS.
● Reconcile holdings, cash, capital calls/drawdowns, redemptions, and fees across multiple sources.
● Investigate and resolve discrepancies independently before escalation.
● Maintain a zero-tolerance approach to numerical or reporting errors. Personally verify reports before they go out — build a habit of independent sanity checks, not just relying on system outputs.
3. Compliance & Regulatory
● Coordinate periodic regulatory filings (SEBI reporting, PPM/disclosure document updates, investor reporting timelines, etc.).
● Liaise with compliance officers, auditors, custodians, and legal counsel to ensure timely closure of compliance items.
● Support KYC, investor onboarding, FATCA/CRS reporting, and related party transaction disclosures.
● Support internal, statutory and other audits — ensure documentation, reconciliations, and reports are audit-ready at all times.
4. Team Coordination & Stakeholder Management
● Coordinate between internal teams (accounts, compliance, operations) and external parties (custodian, RTA, fund accountant, auditors, banks).
● Run periodic reviews to ensure all teams are aligned on deadlines and deliverables.
● Be the escalation point when something doesn’t reconcile or a deadline is at risk — solve it, don’t just report it.
● Train and mentor junior team members on processes, tools, and quality standards.
● Understand how upstream errors (trade entry, wrong tagging, etc.) cascade into downstream reporting and compliance issues — think in terms of the whole system, not isolated tasks.
Required Skills & Attributes
● Qualification: CA or CS (mandatory)
● Experience: Prior exposure to AIF, PMS, mutual funds, fund administration, or custodial operations strongly preferred.
● Technical: Advanced Excel skills (formulas, pivots, basic macros); comfort with fund accounting/reporting systems. Experience with Wealth Spectrum, CAMS, KFin, NSDL/CDSL, custodians or similar platforms is preferred.
● Mindset: High ownership, strong attention to detail, ability to manually verify and cross-check without over-relying on systems, comfortable being the last line of defense before something goes out the door.
● Problem-solving: Able to trace an error back to its root cause across interconnected processes, not just patch symptoms.
● Communication: Able to coordinate confidently across teams and with external stakeholders (custodian, auditors, RTA).
● Independence: Comfortable making decisions and taking ownership without needing constant sign-off.
