Role Overview :
The Client Coordination Executive serves as the coordination layer of the organization’s subsidy advisory function, acting as the single point of contact between clients and internal execution teams. The role connects client communication, document management, and status reporting across multiple government incentive schemes and client engagements. It is ideal for a highly organized, service-oriented professional who enjoys coordinating multiple stakeholders, streamlining processes, and ensuring projects progress efficiently and on schedule.
Key Responsibilities :
1. Client Relationship and Communication
• Act as the primary contact for assigned clients on all operational matters.
• Communicate requirements, timelines, and status updates clearly, and handle incoming queries and
document requests.
• Schedule and coordinate review calls, and build long-term client relationships through consistent, high
quality engagement.
2. Internal Coordination
• Coordinate with the process and liaison teams on document requirements, pending items, and status
updates.
• Track the movement of files across stages and departments, ensuring timely follow-ups and escalation
where required.
3. Project and Workflow Tracking
• Maintain a master project tracker covering deadlines, document status, submission dates, expected
disbursement dates, and task owners.
• Proactively follow up with internal teams and clients to keep submissions on schedule.
• Anticipate bottlenecks and escalate risk items to the reporting manager in advance.
4. Document Management and Quality Control
• Set up and maintain client data rooms, ensuring incoming documents are tagged, version-controlled, and
accessible to the execution team.
• Run first-level completeness checks on every document set received from clients.
5. Reporting and Continuous Improvement
• Publish a periodic internal status report across all clients and schemes, and prepare client-facing summaries
of applications submitted, approvals received, and disbursements realized.
• Drive adoption of internal tools and flag process gaps to leadership with suggested improvements.
Qualifications & Experience :
• Graduate or postgraduate in any discipline (B.Com, BBA, M.Com, or MBA preferred).
• 1 to 3 years of experience in project coordination, client servicing, or operations, preferably in consulting,
CA firms, BFSI, or professional services. Freshers with strong coordination skills may be considered.
• Prior exposure to subsidy, tax, or compliance advisory will be given strong preference.
Skills & Competencies :
• Exceptional organizational and coordination skills, with the ability to manage multiple concurrent client
files reliably.
• Working knowledge of project-tracking tools (Zoho or similar).
• Basic understanding of accounting fundamentals and GST concepts, enough to speak the language even if
not performing technical work.
• Service-oriented, patient, and composed while handling senior client stakeholders.
• Proficiency in MS Excel and MS Word.
• Efficient use of Artificial Intelligence (AI) tools.
• Strong drafting, documentation, and file-management skills.
• Strong verbal and written communication in English, Hindi, and Gujarati.
• Analytical mindset with attention to detail and process discipline.
• Ability to manage multiple client files and meet deadlines.
• Interpersonal skills to manage client relationships effectively.
